As a leading player in the region's dairy and manufacturing sectors, Purabi handles the daily collection, processing, and distribution of milk and milk products. Their operations encompass a vast network of cooperative societies and village-level collection centers, making efficient supply chain management and transparent operations crucial to their success and the livelihood of thousands of associated dairy farmers.

Challenges

Purabi faced several challenges typical of large, diversified dairy and manufacturing operations:

• Disparate Data Systems: Critical functions like milk collection, farmer payments, inventory, and accounting were managed in siloed or manual systems, leading to data inconsistencies and delays in decision-making.
• Complex Milk Procurement & Payment: Managing daily collection data, quality testing (e.g., Fat/SNF content), and calculating fair, timely payments to thousands of farmers required a robust system. The lack of automation led to delays and potential payment disputes.
• Inventory & Shelf-Life Management: Accurate tracking of raw milk, finished goods (like pasteurized milk, curd, ghee), and packaging materials was complex, impacting demand forecasting and increasing the risk of wastage due to the short shelf life of dairy products.
• Regulatory Compliance & HR Management: Managing a large, cooperative workforce required a unified system for HR, payroll, and statutory accounting compliance.
• Inefficient Distribution: Coordinating sales, invoicing, and logistics for the Sales & Delivery across a wide geographical area lacked real-time visibility and optimization. 
  

Solution: Dexciss ERP Implementation  

Dexciss was selected to implement its integrated ERP platform, offering a specialized suite of modules built around the dynamics of the Dairy Value Chain. The solution unified all key operational stages, providing WAMUL (Purabi) with unparalleled control and visibility over their milk-to-market process.

The implementation included the following key modules, with specific functions tailored for dairy:

• Specialized Dairy Module (The Core):
  • Procurement and Quality Check: Automated the entire raw milk collection process at Village Level Collection Centres (VLCCs) and Bulk Milk Cooling (BMC) stations. This module captured essential data including Quantity by Weight (in KGs/LITERS) and crucial Quality Parameters like Fat Percentage and SNF (Solids-Not-Fat) Percentage. It also managed the scheduling of Milk Tankers and their routing.
  • Rate Chart Management: Managed dynamic Milk Pricing based on a pre-defined Fat/SNF Slab Rate system, ensuring fair and prompt farmer payments.
  • Laboratory Integration: Integrated with lab equipment for automated data capture, specifically recording results for Methylene Blue Reduction Test (MBRT) and other tests crucial for assessing milk freshness and quality.
• Manufacturing Module:
  • Managed the production process, tracking the transformation of Raw Milk into various Finished Goods like pasteurized liquid milk, curd, butter, and ghee. This included Yield Analysis and calculating Standard Loss Percentages during processing.
• Inventory & Procurement:
  • Provided granular control over both Raw Material Stock (e.g., milk, packaging film, additives) and Finished Goods Stock. Implemented FIFO (First-In, First-Out) tracking essential for managing the short Shelf-Life of perishable products.
• Sales & Delivery:
  • Enabled order management and route optimization for product distribution to distributors and retailers. The module streamlined the dispatch process, tracking Crates and Cans (returnable goods) and managing Sales Return processes efficiently.
• HRMS, Payroll, and Accounting:
  • Managed the cooperative's financials, ensuring timely Farmer Payment Disbursal through integrated Accounting and managing payroll for the centralized processing plant staff.
